Understand results and manage spending

Read paid-ad metrics and delivery states, investigate ads that are not delivering, and use the permitted pause, resume, budget and delete actions.

What this is for

Use Analytics → Paid ads for account-wide reporting and supported spending actions. Use the campaign's paid cards to inspect the paid campaign, its ideas and where its budget went. Both views can show a platform delivery problem even after a launch request was accepted.

Before you start

  • Use the workspace that contains the connected ad account and campaign. If Paid ads is missing, it is not enabled for that workspace yet.
  • Have permission to see the account's money and results. A campaign collaborator can see a paid card without being allowed to see spending or manage the ad account.
  • For recent launches, allow for platform reporting and synchronization. A missing value is not proof of zero spend or no delivery.
  • Know which account and currency you are reviewing; amounts in different currencies are not merged into a single converted total.

1. Read account results in Analytics

  1. Open Analytics, choose Paid ads, then Results.
  2. Set From and To. The initial range is the first day of the current month through today in the workspace's time zone. The start date must not be after the end date.
  3. Use the retry button if a request failed or you want to reload the current range. A valid date range is required.
  4. Choose Choose metrics. Select between one and eight metrics, then Save. The saved choice determines which totals you see.
  5. Read Totals separately for each currency. Then inspect each account's Spend this month, Monthly cap and Last synced information. The selected-period totals and the current-month account spend are different views; changing the date filter does not turn the monthly cap into a cap for that filter.
  6. Under Running ads, inspect Ad / campaign, Status, Budget, leads and cost per lead. The list includes ads created outside LeadKnight, marked Created outside LeadKnight. An external campaign does not automatically gain LeadKnight's management buttons.
  7. Use Open in the platform when an external link is provided to inspect that campaign in its own advertising manager.

What the metric choices mean

Metric How to use it
Spend Reported advertising spend for the results being shown. Do not confuse it with the chosen budget.
Leads and Cost per lead Compare lead results with their acquisition cost. They are not the same as clicks or every platform-reported conversion.
Meetings and Cost per meeting Follow the meeting results attributed to the ads.
Won, Revenue and ROAS Follow downstream business outcomes recorded for ad leads, not only delivery metrics. ROAS is displayed as a return multiple.
Impressions Ad displays, not a count of unique people.
Clicks, CTR and Cost per click Examine interaction and click efficiency; a click is not a lead.
Platform conversions Conversion results reported by the advertising platform; do not assume they equal CRM leads.

Unavailable results appear as — or Not available, depending on the view. Do not read either as a measured zero. For WhatsApp, calls and activity outside LeadKnight, the editor warns about limits to lead and cost-per-lead tracking.

2. Inspect a campaign's paid card

  1. Open the campaign board and select a card or row marked Paid.
  2. Before launch, the card shows its budget and ad count. After launch, where available, it shows spend against the chosen daily or total budget, leads and cost per lead, ROAS and reach.
  3. Open the card for exact amounts and additional results: Spend, Leads, Cost / lead, Meetings, Cost / meeting, Won, Revenue vs spend, ROAS and Reach.
  4. Expand Platform numbers for Impressions, Clicks, CTR, CPC and Platform conversions.
  5. Expand Where the money went to see spend and leads for source posts or photos. An empty result states that results appear a few hours after the ad starts. A load error offers Retry.
  6. If an ad has several creative versions, read the combined-results notice. These are results across versions, not the exact spend of only the creative currently displayed.
  7. If Ideas are listed, inspect their audience summaries, spend and lead results separately. No ideas running means that none of the idea switches is currently on; a parent campaign existing does not mean an idea is serving.

If you cannot see money, the details view can show only the paid status and ad count. Have the account owner review sharing permissions instead of treating the hidden figures as missing platform data.

3. Understand status and delivery

The campaign board and Analytics use some different labels for the same stage. Read the current status together with any platform note and pause reason.

Status or message What it tells you What to do next
Draft Setup exists but has not been launched Complete creation and review.
Waiting for approval The connected account owner must decide on the spend request The owner reviews it in People & approvals or the paid campaign's approval dialog.
Approved A request has been approved Follow checking, submission and delivery; approval alone does not prove the ad is showing.
Checking & sending / Launching Processing and submission are underway Read the next state rather than creating another campaign.
In review The platform is reviewing the submitted ad Check the platform's status. No review completion time is promised.
Live / Running The ad has reached the running stage Still inspect delivery issues, dates, idea switches and spend.
Not delivering / Stopped by the platform The ad is not currently serving, even if its internal campaign state reached Live Open its details and follow the specific platform reason and fix link.
Rejected A platform rejection is reported Read its reason. Use Edit ads where offered or correct the issue in the platform.
Paused Delivery has been paused Read whether it was by you, the assistant, a cap, a lost connection or the platform before deciding to resume.
Ended / Completed The paid run ended Review its results; do not assume Resume is available.
Failed Launch or another requested action failed Read the actual error and correct it before Try again.
Not reported No recognized status has been supplied Inspect synchronization and the platform; it is not confirmation of Live or Failed.
Archived / Deleted The platform reports that state Review in the platform; do not assume an old result row remains editable.

4. Diagnose an ad that is not delivering

  1. Open the paid card and read the latest error, Platform note or Stopped by notice.
  2. If Meta asks for account verification, use Verify your account in Ads Manager when offered. Complete Meta's steps in the affected account, then return to inspect delivery again. This is different from reconnecting an expired login.
  3. If Meta refuses lead ads because of its Lead Ads Terms, a Page admin must accept them for the ad's Facebook Page. Use Accept the Lead Ads Terms on Facebook, then retry the failed publication after acceptance.
  4. If account funds or the account spending limit are insufficient, open the platform's billing and payment settings. Increasing the ad budget alone does not add account funds.
  5. If the card says a cap or weekly budget caused the pause, follow the spending-control rules below.
  6. If the connection is lost, reconnect the account before attempting an action that requires it.
  7. If the platform provides another refusal, follow that wording and its Open Ads Manager link where available. A generic retry without correcting the cause is not a fix.

Do not treat zero spend as the diagnosis by itself. A future start, review, paused ideas or delayed metrics can produce different next steps. Check the status and schedule before changing the creative or creating another paid campaign.

5. Pause or resume when permitted

Pause the whole paid campaign

In Analytics, choose Pause on an eligible ad and confirm Pause this ad?. The confirmation explains that the platform will stop running it and that it can be resumed later. From the campaign board, open the paid card and use Pause where shown.

Pause is offered for permitted live or launching paid campaigns. Keep following the result of the action; a button press is not a reason to ignore a refusal or pending platform operation.

Pause an individual idea

In the paid campaign's Ideas list, use Pause for the relevant idea. It can show Pausing…, then Paused. A failed change is shown as Pause failed · retry with Retry pause. Resume has equivalent pending and failed states.

An idea switch does not override a paused parent campaign. If every idea is off, the details show No ideas running. Resume the intended idea and, when appropriate, the parent campaign; do not assume switching one on has resumed the other.

Resume

  1. Choose Resume on a paused paid campaign when the action is available. A valid saved budget and no conflicting pending operation are required for this action to appear.
  2. Review fee requirements if shown, then read Confirm resume and its account, budget and dates.
  3. Confirm with Launch and spend if you can approve, or Ask the named owner to approve when approval is needed.
  4. Check whether the request is waiting for owner approval or whether the campaign has resumed. Resume is a spending action, not merely a local switch.

An archived campaign cannot launch or resume paid ads, although existing running ads can still be paused.

6. Change a live or paused budget

  1. Choose Change budget on an eligible live or paused paid campaign. It is unavailable while a conflicting operation is pending.
  2. Check Previous budget and the account currency. Enter the new amount and inspect its minimum.
  3. Change End date only when the platform supports it. The current editor supports this for Meta; other platforms show that changing a running ad's end date is unsupported. An existing end date cannot be removed, and a total budget still requires an end date.
  4. Choose Change budget to reach the spending review. A raise may require the fee agreement and account-owner approval; a decrease does not require agreeing to the fee just to reduce spend.
  5. Read the updated spending warning. Confirm using the button shown and check the resulting state. If account data or a monthly projection cannot be loaded, resolve that error rather than assuming the confirmation was sent.

A budget change does not automatically mean that every paused idea is now running. For Meta, the campaign budget is shared across ideas and ads; raising it is not a fixed allocation to the specific creative you are viewing.

Weekly protection and monthly caps

The daily-budget confirmation displays a weekly budget equal to seven daily amounts and explains that the platform may spend more on some days. At 105% of the reported weekly budget, LeadKnight pauses the ad until Sunday and resumes it automatically. A pause can read Weekly budget used · resumes Sunday.

  • Wait for Sunday if you want that automatic resume.
  • Use Keep paused from the paid campaign details if you want it to remain paused instead.
  • A budget raise can require renewed approval and remains subject to the account cap and fresh spend data.

The account's monthly-cap protection also pauses ads at 105% of reported spend. The cap, weekly protection and platform account funds are different controls. Platforms can report spend with a delay of up to a few hours, so the final amount can exceed a threshold. A cap is not an exact real-time charge guarantee.

7. Delete only what you intend to delete

From a paid card's details, Delete appears only when management is allowed and the operation state permits it.

  • For a draft, read the irreversible draft-deletion confirmation.
  • For a launched paid campaign, read Delete paid campaign?. The campaign is stopped on the platform first and then removed from LeadKnight. Existing results and leads are kept. Confirm with Delete campaign only if that is the intended outcome.
  • If the platform does not confirm the stop, deletion is not completed. The error says it stays paused here; inspect the platform and retry after the indicated wait instead of assuming it was deleted.

Deleting an individual ad, deleting a paid campaign, turning an account off and disconnecting the connection are distinct actions. Live Meta ad management explains individual-ad removal; account settings explains disconnection.

If something goes wrong

Symptom Cause to check Fix
No visible accounts No owned or shared ad account is visible Connect an account or ask its owner to share it.
No rows for a date range The platform reported no campaigns in that range Check the dates and workspace, then inspect the platform if needed.
Spend has not synced Metrics are not current Check the last-sync message and wait for fresh reporting. Do not read missing data as zero.
Budget raise or launch is refused because reporting is stale Spend is still catching up Wait for fresh metrics; changing the cap does not fix stale data.
Management buttons are absent Permissions, status, an external campaign or a pending operation limits actions Use the connected account owner or the platform; do not assume every listed campaign can be edited here.
Pause or resume of an idea failed The platform did not confirm that switch Read the error and use the specific Retry pause or Retry resume control after resolving it.
A spending action asks for Billing Card, unpaid fee or billing setup is missing Use Open Billing, resolve the stated requirement and retry.
A spending action asks for a sponsor Sponsor permission or updated fee terms are missing Ask the workspace sponsor to authorize the action or accept the terms.
Another action is running The account has a conflicting operation Let it resolve before making a new request.
Results differ from the visible creative Results combine several creative versions Read the combined-results notice and inspect the platform for more granular reporting.
