# Invite colleagues and accept an invitation

Invite a person by email or link, check the role and payer, and accept using the email address the invitation was sent to.

## Before you start

To invite someone, be an owner or admin of the correct workspace. Know the person's email and intended role. Check whether people pay for their own seats or a workspace sponsor pays; inviting someone is not the same as completing their seat setup.

## Send an invitation

1. Open **Team** and choose **Invite**. The invitation form opens.
1. Enter **Email** and select **Role**. The choices describe **Admin**, **Member** and **Viewer** permissions. Choose the least access the person needs.
1. If sponsored plan choices appear, review them and the joining/payment explanation. The UI says joining charges the sponsor nothing; if a free trial was already used, the first charge is separately quoted and confirmed later through **Assign plan**.
1. Choose **Send invitation email** to send it, or **Copy invitation link** to copy the link for sharing with the intended recipient.
1. Review **Pending invitations**. **Copy link** refreshes a pending link and warns that the earlier link stops working. **Revoke** cancels an invitation you no longer want accepted.

## Accept an invitation

1. Open the invitation link. Its preview identifies the workspace, inviter, role and validity date, and explains who pays for the seat. The invited address can be partly masked before sign-in.
1. Create an account or sign in with that invited email address. The authentication flow returns to the invitation.
1. If signed in with another address, choose **Sign out and continue with the invited address**. Do not accept a colleague's invitation from your own unrelated account.
1. Choose **Accept invitation**. The app remembers the workspace and opens the applicable onboarding path.
1. Complete your personal setup and seat requirements. If already a member, use **Open the app** or the workspace-opening action shown rather than accepting again.

## Rules and options

Invitations are address-specific and time-limited; use the preview's validity date. Only one pending invitation for the same address can exist in a workspace. Sending invitations is rate-limited. An expired, refreshed or revoked link must be replaced by an authorized team member, not repaired by editing the URL.

Admins manage the team and billing and can publish. Members prepare and publish from their own accounts. Viewers see content but do not publish. A role does not override seat restrictions or grant access to every colleague's publishing identity.

## If something goes wrong

| Symptom | What to do |
|---|---|
| Wrong signed-in email | Sign out through the invitation's action and use the invited address. |
| The link expired or stopped working | Ask the inviter for the latest link. A refreshed link invalidates the earlier one. |
| An invitation is already pending | Manage the existing pending invitation rather than repeatedly creating another. |
| Invitation sending is limited | Wait before trying again and avoid repeated invitations to the same address. |
| Joined but cannot continue | Finish onboarding and seat setup, or wait for the sponsor named by the page. |
| Invite controls are missing | Check your role and selected workspace. Owners/admins manage invitations. |
